Privacy Policy

1. Who We Are

MapleVow / MapleRSVP is a Canadian wedding RSVP and guest management platform available at maplevow.ca. We help wedding hosts create RSVP pages, manage guest lists, send guest communications, and collect RSVP responses.

We are committed to protecting personal information under Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA), where it applies.

2. Information We Collect

From account holders and planners

We collect information such as name, email address, login details, Google Sign-In identifiers if you use Google authentication, wedding details, account settings, billing status, subscription details, support messages, and security logs.

Payment card details are processed by Stripe. MapleVow does not store full credit card numbers on its servers.

From wedding guests

Wedding hosts may enter guest names, email addresses, phone numbers, RSVP status, meal choices, dietary notes, plus-one details, high-chair needs, table assignments, custom RSVP responses, and related wedding participation details.

Guests may also submit RSVP responses, contact details, meal choices, notes, and photos if guest photo features are enabled.

Automatically collected information

We collect technical information needed to operate and secure the Service, such as IP address, browser type, device information, session data, authentication logs, email delivery events, SMS delivery events, message status, timestamps, and provider identifiers.

3. How We Use Information

We use personal information to:

  • provide RSVP pages, wedding homepages, invitations, guest management, seating, timeline, budget, SMS, email, and photo features;
  • authenticate users, including through Google Sign-In when selected;
  • process payments and manage billing through Stripe;
  • send transactional emails through Resend;
  • send SMS messages through Twilio when hosts choose to use SMS features;
  • provide support, troubleshoot issues, and communicate service updates;
  • protect accounts, prevent abuse, investigate fraud, and enforce our Terms;
  • maintain, test, and improve the reliability and security of the Service.

We do not sell personal information. We do not use guest lists for vendor marketing, advertising lists, or unrelated promotions.

4. Hosting and Data Location

The Service is hosted in Canada using Oracle Cloud infrastructure in a Canadian region. Some third-party providers we use, including Twilio, Resend, Stripe, and Google, may process or store limited information outside Canada as needed to provide their services.

By using MapleVow, you understand that personal information may be processed by these providers under their own security and privacy programs.

5. Service Providers

We share information only as needed to operate the Service, including with:

  • Oracle Cloud for Canadian hosting and infrastructure;
  • Twilio for SMS delivery, delivery status, and carrier messaging support;
  • Resend for transactional email delivery;
  • Stripe for payment processing, invoices, receipts, and fraud prevention;
  • Google for authentication when Google Sign-In is used, and Google Maps and Google Places for address autocomplete and maps in the vendor directory;
  • a third-party artificial intelligence provider for AI-assisted writing and auto-fill features, which processes the input submitted for those features;
  • analytics and operational tools only where configured and permitted.

These providers are not allowed to use personal information from MapleVow for their own unrelated marketing.

6. Guest Data and Host Responsibility

Wedding hosts choose which guests to add and what messages to send. Hosts are responsible for having appropriate consent or authority to enter guest contact information and send SMS or email messages, including compliance with CASL where applicable.

Guests who have questions about why their information was added should first contact the wedding host. Guests may also contact privacy [at] maplevow [dot] ca, and we will assist where we reasonably can.

7. Communications, CASL, and Opt-Outs

MapleVow sends transactional wedding-related emails and SMS messages at the direction of the host or as needed to provide the Service. Hosts must not use MapleVow to send spam, promotional campaigns, or messages to people who are not actual wedding guests or legitimate wedding participants.

Guests may opt out of SMS where supported, including by replying STOP. Hosts are responsible for honouring unsubscribe, opt-out, and deletion requests they receive directly.

8. Cookies and Analytics

We use essential cookies for authentication, sessions, security, and core site functions. If analytics are enabled, analytics tools load only after consent where required. We do not intentionally send guest names, email addresses, phone numbers, wedding names, subdomains, RSVP answers, or other direct personal identifiers to analytics.

9. Retention and Deletion

Wedding data is retained according to the selected plan and retention settings shown in the Service. We may keep limited records longer where needed for billing, fraud prevention, security, legal compliance, dispute resolution, backups, or audit logs.

You may request access, correction, export, or deletion by contacting privacy [at] maplevow [dot] ca. Hosts can also delete their account or wedding data through available account tools.

10. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections, access controls, password hashing, and provider security controls. No online service can guarantee perfect security.

11. Your Privacy Rights

Subject to applicable law, you may request access to your personal information, correction of inaccurate information, withdrawal of consent, deletion, or information about our privacy practices. We may need to verify your identity before responding.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

12. Children's Privacy

The Service is for wedding planning by adults and is not directed to children. Hosts should not intentionally collect personal information from children unless it is necessary for legitimate wedding planning, such as meal planning or high-chair needs, and they have appropriate authority to provide it.

13. Vendor Directory Information

If you submit or claim a vendor listing, we collect the business details you provide (such as business name, description, location, contact details, photos, and links) and the name and email of the person submitting. Public listing fields are displayed publicly in the directory. We also collect basic listing analytics, such as profile views and clicks, to operate and improve the directory. Address autocomplete and maps in the directory use Google Maps and Google Places, which process the address and location information entered.

14. AI Features

Some features use a third-party artificial intelligence provider to generate or suggest text. When you use these features, the relevant input — for example, text from a business website you ask us to summarize, or details you provide — is sent to the AI provider to produce the output, and may be processed outside Canada under that provider's own security and privacy program. We do not send wedding guest personal information to the AI provider for these features.

15. Quebec Privacy Rights (Law 25)

If you are in Quebec, additional rights apply under Quebec's Act respecting the protection of personal information in the private sector ("Law 25"). These can include the right to be informed about the use of your personal information, to access and correct it, to withdraw consent, to request that it be de-indexed or deleted in certain cases, and to receive certain information in a portable format. You can exercise these rights, or reach our person responsible for the protection of personal information, at privacy [at] maplevow [dot] ca.

16. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we will provide reasonable notice by email, in-app notice, or posting on the website.
